Free quote template for Switzerland

Before you start a job, your customer wants to know what it will cost. With Scanbill you write the quote in the same form as your invoices: with your logo, items and VAT, as a clean PDF. When the customer accepts, the quote becomes a QR-bill with one click.

What goes on a quote

  • Your name or company name, address and contact details, plus your UID number if you are registered for VAT.
  • The customer’s name and address.
  • A quote number and the date, so you and your customer can refer to it later.
  • The work with quantity, unit and price, for example hours, materials or fixed amounts.
  • VAT per rate (8.1 %, 2.6 % or 3.8 %) and the total, if you are registered for VAT.
  • How long the quote is valid, for example 30 days.

How long is a quote valid?

If your quote sets a deadline, you are bound by your offer until it runs out (Art. 3 of the Swiss Code of Obligations). 30 days is common, less if material prices change often. Without a deadline, a written offer stands for as long as you could normally expect a reply (Art. 5).

If you don’t want to be bound, say so in the intro text, for example “This quote is non-binding”. If in doubt, ask a professional; Scanbill does not give legal advice.

From quote to QR-bill

Every quote you download appears under “Your quotes”, with the amount, valid-until date and status. When your customer accepts, click “Turn into invoice”: the customer, lines and intro text are carried over, and the invoice gets the next invoice number, today’s date and the QR payment slip. The quote is marked “Invoiced”.

Quotes have their own numbers, for example 2026-Q001, so they don’t mix with your invoice numbers.

Why not Word or Excel?

A Word template has to be adjusted by hand for every quote, and you work out the amounts yourself. For the invoice you type everything again and still need a QR payment slip. In the generator, Scanbill works out the subtotal, VAT and total, and the invoice comes straight from the quote without retyping. Your data stays in your browser.

How it works

  1. Open the generator. “Quote” is already selected.
  2. Enter your details, your logo and the customer.
  3. Add the lines and choose how many days the quote is valid.
  4. Download the quote as a PDF or send it by e-mail.
  5. When the customer accepts: click “Turn into invoice” under “Your quotes”.

Common questions

Is the quote template free?

Yes. Creating quotes and invoices is free, with no sign-up and no limit.

Does a quote have a QR payment slip?

No. A quote is not yet a request for payment. The QR payment slip goes on the invoice you create from the quote.

Where are my quotes stored?

Only in your browser, on your device. The backup saves your quotes and invoices to a file.

Quote or estimate?

A quote gives a fixed price. An estimate is only a rough guide to the cost. Say which one you mean in the intro text.
